Producing Assistant – Part-time/Seasonal
WHO: Unexpected Theatre Company
SEEKING: Unexpected Theatre, a small theater company based in New York City, seeks a bright highly organized self-starter, preferably with experience and/or training in PR/audience outreach and touring company management for its 2011-2012 season, which includes engagements all over the country as well as in NYC.
RESPONSIBILITIES: Candidate will work closely with Artistic Director and Executive Producers on tasks which may include: Researching travel and lodging options, as well as other local resources for each tour, making reservations. Putting together information packets on such for company members traveling. Working with presenters on arrangements for hospitality, lodging and local transportation when necessary.
Coordinating and supporting staff for in-town activities such as fundraising events, video shoots, rehearsals and performances. Booking space for and scheduling rehearsals held in town. Greeting VIPs at in town performances. On occasion, traveling with the company to provide these sorts of services out of town when necessary. Receiving and responding expediently to booking and press inquiries, relaying them to the correct person. Scheduling appointments and meetings. Outreach to VIP guests, groups and sponsors via email and phone, preparing and sending mailings. Data entry and maintenance of mailing list database.
REQUIREMENTS: Ideal candidate will be a dynamic, highly organized detail-oriented self-starter, able to expertly prioritize and work independently and efficiently within strict time constraints. Excellent communication skills, both written and verbal, essential. Excellent people skills for management and team building preferred. Candidate must have basic knowledge of MS Word and Excel. Skill with Patron Mail data entry and newsletter preparation preferred, but not required. Basic knowledge of technical theater a plus. Preference will be given to college educated candidates who have at least 1 to 2 years experience or training in arts management and a passion for the business of theater.
