Associate, Public Relations

Reports to: Associate Director, Public Relations
Position Classification: Non-Exempt, Full-time
The Associate provides administrative support to the Associate Director of Public Relations and the PR Department. He or she also represents the Department at concerts scheduled throughout the season, special events and interviews with artists and administrators.
Execute PR campaigns by way of drafting press releases, formulating campaigns and press outreach for education events, CD listening parties and select concert programming.
Pitch, coordinate and accompany artists and/or appropriate staff on interviews
Create necessary materials to publicize programming
Represent organization at its events and external events.
Respond to press requests for photos, press kits related to designated programming.
Coordinate press interviews with artists and/or administrators as they relate to publicity for designated programming
Assign and manage staffing needs at Essentially Ellington events
Oversee press at designated events throughout the season
Update status reports relating to designated programming
Update photo gallery for designated events through the season
Concert ticketing: coordinate with PR and Marketing team for the ticket needs, assign tickets for each concert evening, notify front of house and FPRH production team of attending press
Support Associate Director with JLCO Touring PR efforts
Maintain press release schedule for designated programming including writing, routing, distributing
Represent PR dept at appropriate JALC meetings
Hire, train and supervise two interns each semester: Oversight of intern tasks: press clips, processing invoices, meeting agendas, etc.
Coordinate archival/promotional video shoot schedule, hire videographer when necessary
Reports: prepare board clip packets for board and executive committee meetings, oversee Top Line Report drafting
Media database management
Social media liaison: provide content for concerts, upload photos to Facebook for each concert
Serve as liaison for Legal team to manage contracts and use of Salesforce
A minimum of 2 years of administrative experience; prior experience or exposure to the public relations field preferred
A Bachelor’s degree or equivalent relevant work experience
Superior attention to detail and organizational skills
Excellent communication (both written and verbal) skills, including pleasant and effective phone etiquette
Solid writing skills
Ability to multitask and work graciously under pressure and deadlines
Computer skills in MS Word, Excel, PowerPoint, and the Internet
Ability to take initiative and work collaboratively with others
Ability to maintain a high level of motivation and work independently
Interest in working in the non-profit or performing arts sector with a focus on media relations
Knowledge of jazz music preferred
Willingness to work nights and weekends as required
Passion and/or knowledge of Jazz preferred.
