POSITION: Assistant to Development Director

DESCRIPTION: Assistant to the Development Director provides support to the Development department, primarily serving the Director of Development.

Responsibilities:

Provide administrative support to the Director including maintaining calendar, scheduling meetings, directing and handling incoming calls

Coordinate services of outside consultants, as needed.

Ensure all gifts to Roundabout are properly coded, approved and processed in a timely manner.

Specifically track all Board gifts, pledges and write and coordinate acknowledgement letters.

Maintain departmental monthly tracking information, working with the Database team to ensure timely report distribution.

Manage Development committee agenda, materials, coordination of activities, attend meetings, create and distribute minutes.

Manage and coordinate Departmental expense budget, working with unit Directors, and the Director of Development; liaise with finance office as needed.

Manage all donor crediting and recognition in print materials and other media. Work closely with the Marketing Department to meet deadlines; work closely with all fundraisers, production management to stay current and on schedule.

Manage artist outreach for attendance at special events, meetings, etc. Liaise with press office, artistic and production staff, write request letters, follow up and thank you letters.

Manage donor outreach to attendance at phyreadings and unique opportunities. Work together with unit directors, Executive Director and Development Director.

Hire and manage Departmental intem(s).

REQUIRED -At least one (I) year in a professional fundraising environment, preferably in the arts. CERTIFICATIONS, LICENSES -None LANGUAGE, SKILLS REQUIRED -Will work with confidential information daily and must be poised, sophisticated and maintain discretion at all times. Computer savvy -Outlook, Excel and Word.
